Store Policy
The rules of buying and selling on GearDepot — accept these to use the marketplace.
Effective
Accepting this policy
This Store Policy is a binding agreement between you and GearDepot. You accept it when you create an account, alongside our Terms of Service and Privacy Policy. It sets out how orders, shipping, pickup, fees, and conduct work here. If you do not agree, do not use the marketplace.
A protected marketplace
GearDepot exists to make high-value used AV and production gear safe to trade between people who do not know each other. Listings are screened, sellers are verified through our payments provider before they are paid, and checkout is protected. These protections only apply to orders that are placed and paid for on the marketplace.
Listings are screened automatically — including by automated fraud and policy checks — and publish as soon as they pass. We review listings after they are live when a check flags one, and we may decline, edit, or remove any listing at any time.
Protected checkout and the payment hold
When you buy, your payment is captured by the platform — it is not paid to the seller at checkout. Once the item is delivered (or picked up), a 72-hour inspection window opens. Within it you either approve the item or open a dispute. Report a problem inside the 72-hour window and Gear Depot makes it right: unpaid seller funds are paused, refunds are paid by Gear Depot, and anything already paid out is recovered from the seller — never from you. If the window passes with neither, the item is considered approved automatically — no questions asked, the order is final, and any remaining funds are cleared for release to the seller.
Seller payouts
Payout timing is earned. Seller payouts follow this schedule:
- Proven sellers (3+ completed sales, 30+ days on the platform, and no lost disputes or chargebacks in the last 90 days) are paid at the first carrier scan — or, for local pickup, when the buyer's handoff code is entered.
- New sellers are paid at carrier-confirmed delivery.
- Orders of $10,000 or more release half at the scan and half at delivery (for new sellers, at inspection close).
- An open dispute or chargeback pauses unpaid funds, and a lost dispute moves a seller back to delivery-timed payouts for 90 days.
Payouts land in the seller's connected payout account. If GearDepot refunds a buyer under this policy after funds were paid out, the corresponding amount may be recovered from the seller as described in the Terms of Service.
First-payment-wins
Listings sell on a first-paid basis. A listing stays available until an order is actually paid for — adding an item to your cart, or having an offer accepted, does not reserve it. Someone else can still buy it until you complete payment.
Shipping
Sellers are responsible for packing items properly and shipping within the handling time shown on the listing. Where you buy a shipping label through us, tracking updates drive the order status and start the 72-hour inspection window on delivery. Larger items may ship by freight, which our team prices for your delivery address.
Local pickup
Some listings offer local pickup. When you choose local pickup at checkout, you are agreeing that the item is pickup only and will not be shipped to you — you arrange to collect it from the seller in person, and checkout charges $0 shipping for that item. We ask you to confirm this explicitly before you pay, because a pickup order has no tracking and no carrier delivery.
- Coordinate the pickup time and place with the seller through on-platform messaging — never move the conversation or the payment off the marketplace.
- Your protection is unchanged: the 72-hour inspection window applies from the confirmed handoff.
- Local pickup orders include a 6-digit handoff code: the buyer reads it from their order page and gives it to the seller at the handoff, and the seller entering it confirms the exchange and starts the inspection window (the buyer can also confirm from their side).
- The exact pickup address is shared only after payment is secured.
Fees
Browsing, listing, and buying are free. When an item sells, GearDepot charges the seller a transaction fee of 5% of the item subtotal, with a minimum of $5 and a cap of $750. The fee is calculated on the item price only — shipping and insurance are excluded — and is deducted from the seller's payout. Payment processing is handled by Stripe, whose own fees may apply to sellers.
GearDepot may run promotional fee waivers or reductions from time to time (for example, a zero transaction fee on everything an account sells during a limited window starting at account creation, which may be extended through referral rewards, subject to a stated maximum amount of fee-free time). Any active promotion is applied automatically when an item sells; when it ends or does not apply — including when an item sells after the account's fee-free window has passed — the schedule above governs.
Sales tax. Sales tax is calculated at checkout and shown before you pay. We collect and remit it in the jurisdictions where we are registered to do so; where we are not registered, no tax is charged and you may owe use tax directly. Tax is calculated on the item and shipping as applicable and is never part of the seller's payout or of our transaction fee.
Keep transactions on the marketplace
Buyer protection, dispute handling, and payout guarantees only exist for orders that complete here. Do not arrange a sale that is paid for somewhere else, and do not exchange contact details in order to do so. Messages are screened for this, and attempts to move a deal off-platform can result in restrictions or account closure. This is not a formality — off-platform payment is how buyers in this category get defrauded, and we cannot help with a transaction we have no record of.
Prohibited conduct
- Listing items you do not have, do not own, or cannot deliver.
- Misrepresenting condition, authenticity, or what is included.
- Fraudulent payments, chargeback abuse, or money laundering.
- Harassment, threats, or abusive messages.
- Scraping, automated data collection, or attempts to break or overload the site.
- Manipulating reviews, offers, or search ranking.
Enforcement
We may decline, edit, or remove any listing, and we may suspend or close accounts that violate this policy, that we reasonably believe are being used for fraud, or that put other members at risk. Serious or repeated violations can forfeit the protections described above.
Changes
We may update this Store Policy. If a change is material we will update the effective date above and may ask you to accept the new version. Continuing to use GearDepot after a change means you accept it.
